Epic AI phone agents that handle scheduling and routing calls

The agent answers scheduling and routing calls and reads slots from a service your health system runs, so Epic access stays with that service.

Scheduling and routing agent

Offers open slots and routes callers by department.

Instructions

Identify the department the caller needs and offer two open slots from the schedule tool. When the caller picks one, transfer to that department's line to book it. For results, referrals or symptoms, transfer to the matching department line.

What a Epic AI voice agent can do

Open one to watch a call. The grey lines are the tools the agent calls mid-sentence.

The agent asks your service for open slots by department and visit type, and offers the caller two of them to choose from.

Tool definitions

Webhook tools go to POST /v1/agents/tools. Transfers are a system tool on the agent. Replace the placeholder values in capitals with your own.

Set it up

No native connector. Epic access is granted by the health system, so the agent calls a service your team runs and that service uses the access Epic gave you. Vendor details read in October 2026.

  1. Ask your Epic team what is approved

Your health system decides which apps get which access. Start with read-only slot lookups.

  2. Run the service

It authenticates to Epic as approved and returns minimal slot data.

  3. Add the tools

Configure the webhook and the department transfers.

  4. Pilot on one department

Launch on a single line, review calls, then widen.

Before you build

Approval comes first

Epic access is granted by the health system, and Cartesia cannot grant it. Start the approval while you build the rest.

Read-only is a good first release

Reading open slots needs less Epic access than writing appointments, and the department still books the visit after the transfer.

Epic AI voice agent FAQs

Can an AI voice agent schedule appointments in Epic?

Yes, with access your health system approves. Epic access is granted by the health system, so a Cartesia agent calls a service your team runs, and that service reads open slots with the access Epic gave you. Cartesia has no Epic access of its own and cannot grant it. There is no native connector.

Can the voice agent book directly into Epic?

Only if your health system approves write access. The agent on this page offers two open slots and transfers the caller to that department to book. Reading slots needs less access than writing appointments, so it makes a smaller first request to your Epic team.

Is an Epic voice agent HIPAA compliant?

It can be, if every vendor that touches patient data has a business associate agreement. Cartesia offers BAAs on its Enterprise plan. Epic credentials stay in your service, and the agent only holds a token for it, so it never touches Epic directly. The healthcare guide lists what to check.

Which calls should go to staff instead of the agent?

Referrals, test results and clinical questions transfer to the matching department's number, not the main line. Transfers only work on Twilio and SIP trunk calls, so connect the department lines through Twilio or a SIP trunk.

How should a health system pilot an Epic voice agent?

Start the Epic approval first and build the rest while it runs. Run the service, add the slot tool and department transfers, and launch on one department's line. Review those calls before you widen it.

What does an Epic voice agent cost to run?

Agents run at $0.03/min, plus LLM usage and telephony. Epic access and the service in front of it are on your health system's side, so Cartesia doesn't bill for them.
